If you’ll be away for a portion of time observing a holiday, create a cheerful auto-reply in your absence! Instead of my phone, it’s the jingle bells that will be ringing until 1/2; I will be out of office until then, please expect a reply with 24 hours of my return. I’m leaving on a jet plane! The Stern Firm will be out of the office until 3/4 on a company-wide retreat. We will respond to all messages promptly upon return.
An old boss had a pet peeve about this so I became very conscious of making sure that I listed out who to contact on what day… before the group email. So it looked something like this:
.
I did something similar the second time I took maternity leave, actually. I didn’t explicitly say, “I will delete all emails,” but instead I shared my backups’ contact info and invited people to contact me again when I was back from leave.
I don’t include this much detail on my OOO, but I do include if I am out of the office for religious observance, because I don’t use electronics on my holidays and want people to know that I really won’t get their message until the holiday is over. (Unlike the norm in my workplace that otherwise senior people are checking email even if we’re sick or on vacation. I know, I know.)
You don’t have to disclose the specific reason for your absence in your out-of-office message. You can simply say “I’m on leave” or “I’m currently out of the office.” This goes for any reason you’re OOO.
7. Out of Office for a Family Vacation. This is a great template to use if you’re on a family vacation. Hey (specify the Name field id), Thanks for your email.
This message is really long. I’d probably just hit delete and try to get in touch with someone else.
Our office will be closed today for the [holiday name]. We will reopen tomorrow morning at [time].

Whether it’s a fully-blown holiday, or just a few days away that’s at the forefront of your mind – tying up loose ends at work should never be overlooked. Aside from delegating your workload while you’re away, this also means setting up an out of office email.
Who hasn’t longed to write something similarly huffy? Well, LA-based designer Paul Woods, for one. Woods is also the author of How to Do Great Work Without Being An Asshole and suggests opening your OOO with this: “Dear sender, As you are already aware, I am on vacation. However, as it appears that you have flagrantly ignored the numerous emails, in-person conversations and messages over the past week communicating this, below you can find a detailed recap what I will not be doing until my return…” It’s a recap that extends to wearing clothes, even in public, and moderating his consumption of hard liquor.
Depending on your idea of holidays as no-business time of the year, you may decide to leave at least one communication channel open, or provide additional information in case of urgent inquiries. In any case, you can add the following information to the mix: You can provide your mobile number, while noting that it can be used only in exceptional situations You can leave contact information of a person that will handle correspondence in your absence You can inform your customers that you will only check emails with “URGENT” in their subject
Hi, Happy holidays, and thanks for your email! I’m taking a few days off to spend time with my family and friends so I won’t be answering emails as quickly as usual.
Auto-attendants with a customized holiday greeting can be a festive way to mark the occasion. If you have a retail business, create a holiday greeting to inform customers of any limited-time sales you are offering. If your office is closed for the holiday, be sure you state this in your message.
7.) Welcome to the law office John Doe. Sorry, we're currently unable to answer your call personally, as you call during our annual holidays. I do feel like the person who wrote it may have some issues in their organization with, oh let’s call it fire fighting. People who don’t necessarily think through the process of who would be most effective at dealing with the problem at hand. This reads like the message of someone who is used to getting everything dumped in their email and this OOO is an attempt to manage expectations and distribute issues to the people most able to quickly and effectively deal with a range of problems
