My colleagues have this weird habit of not using out of office messages, but instead, sending all staff or all manager emails before they go on vacation letting everyone know they’re going to be gone for x amount of time. It’s really odd. I do not do this.

I actually think that’s a really helpful out of office message? I appreciate how clear it is about who to contact in which circumstance (so you’re not having to do the awkward dance of trying to track down the right people while not inconveniencing the wrong ones), while maintaining a friendly-but-firm boundary around the vacationing person’s time (since none of the options include things like “here’s my cell phone number!”).

I take advantage of the ability to send different OOO messages to internal or external addresses. Internal addresses get a couple of people to contact if it’s urgent, usually my direct report and my backup person, since between them they can cover pretty much everything I do, or at least they’ll know who can. External addresses get a more general notice: “I am temporarily out of the office. If your message is regarding the Llama Care project and requires a prompt response from our Llama Grooming Team, please make sure that [email protected] is one of the recipients of your message.” Probably not the most elegant phrasing, but we have a distribution list for this very reason. Even requests that they know only I handle are supposed to go to the LG list.
It’s my favorite time of year, which means I’m currently out of the office lounging on a Carribean beach, sipping on mojitos, and attempting to achieve the tan I’ve been waiting all year long for.
