Help your users know when to expect a response. It’s easy to show customers your team’s availability and let them know when they can get assistance from your team. You can manage their expectations by setting your office hours and expected response time.
A simple greeting like, 'Season's Greetings,' or 'Happy Holidays," is appropriate, followed by, 'I hope the season is treating you well. I wanted to thank you for your business this year and wish you and your team a Happy New Year. ' A sign-off of, 'Regards' or 'Best wishes,' is inclusive and business-friendly. Out-Of-Office templates (OOO) are a type of auto-responder that instruct eDesk to reply automatically to messages that arrive during one-off office closures, e.g., during a national holiday. For example, a customer sends your company a message on Christmas Day, but the office closed at 6pm on Christmas Eve and will not reopen until the 29th December. If you have set up an OOO template for this holiday period, eDesk will immediately respond to the customer with a message that reads : "Thanks for contacting Joe's Bikes! Just to confirm that we've received your message and that a member of our team will respond as soon as possible. Wishing you a very Happy Holiday from everybody at Joe's Bikes". This message is pre-written as an OOO template and is set up to be triggered for any customer messages that arrive between 6pm on 24th December and 8am on 29th December. Remember to change the dates, and double-check to make sure they’re correct if you’re resuming the same message you used the last time.
I struggle with naming a contact too. My current job doesn’t really have emergencies, so while my second in command could handle stuff I normally would, should she have to? Also, 98% of the people that would get my OOO would know who to go to anyway if they actually needed something urgent. I hate to make someone else’s life harder for my own convenience when it’s not even needed.
