When Amy Spurling, cofounder of the company perks software company Compt, went on vacation, she ended her message with a clear direction about who to contact: “If you need immediate help, please contact [name and email address]. I will be responding to all emails on my return.”
I’ll be on maternity leave from [DATE] until [DATE]. For general inquiries about [DEPARTMENT/ROLE], please email [CONTACT NAME]. If this matter is not time-sensitive, feel free to resend your email in [MONTH] when I will be regularly checking emails again.
An out of office message lets you keep people informed and tells them how to proceed in your absence. You can also select options for urgent matters within your out of office message.
This might seem obvious, but make sure you clearly state and restate the dates you’ll be out of the office. Even if you put the dates in your subject line, you should also repeat them in the message body. It’s hard to over-communicate here. State exactly when you’ll be back, and whether or not you’ll be responding to calls and emails while you’re out. If you’re on the road but are responding to messages, let everyone know if you’ll be unavailable for an extended period (while on a flight, for example), if you’ll be in a different time zone, and in general, that they should expect a delay in response time. All in all, set realistic expectations and strive to be as specific as possible.

Over time, I began to suspect that those who might be telling the truth (of which I suspected there were very few), would mention their relationship to the person and possibly the cause, for example “My grandmother just passed away after surgery.” The ones who left it wide open (“someone close has recently died”) led me to imagine that it could be a random person in their city that they read about in the news, their goldfish, or perhaps a distant relative who had passed away in the previous few years.
If you need assistance before my return please contact (name of colleague covering for you, with contact details).
Setting your out of office may be different depending on the email provider you use. But whether you’re on Outlook, Gmail, or another platform, it should be a relatively straightforward process.
Setting up an out of office email depends on each company and the emailing systems and inbox setting used. But, it's also possible to set up an automatic reply for Gmail accounts and, with the coronavirus pandemic seeing more people go freelance than ever before, we're going to outline exactly how to get that Gmail out of office setting up and running.
