If you are going out of office but still leave something interesting for your contacts like poetry, that’s something really out of the box. This is a truly amazing OOO message, and reverting with poetry will surely make the receiver read it twice as emails are the last place one imagines reading poetries. Especially closing with “If all else fails, clear your cache…” is one good way of telling people that they will need proper help and it will anyway take time before they’re all set. One of the most common mistakes people make when setting up their auto replies is making them long. Nobody wants to read a long email message — and especially so when it’s an email message that tells them you’re not going to reply right now.
We have some field staff who have out of office replies set up for when they do fieldwork. On one hand it’s nice I guess, but on the other hand, they aren’t dealing with urgent matters only they can handle (they don’t manage projects or deal with clients), so it seems a bit unnecessary? No one has been disciplined for not responding to an email the same day. But maybe I’m just a crabby Gen-Xer, and a client can stand to wait a few hours or until the next day to get an answer from me.
Leave some lights on for safety, but turn off any unnecessary ones before leaving. Test that all main doors are locked, as well as any server or file rooms holding sensitive equipment or information.
Mine says something along the lines of “I’m currently away from my desk, and will be back online on Monday, 7 July…” and (if it’s a longer period and not just the next working day) perhaps also something like “If your enquiry is urgent, please resend to…” so someone else can deal with it.
