Agree that part time staff was odd to include here. I have no idea if you are part time. I don’t keep track of other people’s schedules. I would find it helpful to know you aren’t available the rest of the day in case I need something sooner.
The UPS driver is scheduled to pick me back up on the eighth. He should deliver me back to the office by the ninth (assuming he’s not late like he was this time).
Let your OOO response do some lead generation for you while you’re away, publicizing all of the exciting ways people can still get involved with your company’s community before you return. For example, you can encourage inquires to use your online booking or appointment system on your website, or you can tell them to subscribe to your newsletter to stay updated on upcoming offerings you’ll be announcing soon.
Additional resources: You might include a link to one of your webpages or a download if it provides information that can be useful to people while you are away.
If that’s truly what you intend, great. But if not, you may want to take a deep breath and try this: “I am currently on vacation and not accepting emails. Please contact x for any issues while I’m away.” This approach is refreshingly honest and clear. And as long as you’re comfortable with the competence and availability of your back-up contact, you shouldn’t feel funny or guilty about going this route at all.
Set your automatic out of office reply under the Outside My Organization tab. This is for people outside your company such as clients and suppliers. You can copy what you typed in for Inside My Organization or you can put something else for people outside your organization. You can even untick the “Auto-reply…” box if you don’t want to send them an automatic reply while you’re away.
If you scroll down, towards the bottom you'll find a section called Vacation Responder. There, tick Vacation Responder On and fill in the dates for when you want any received emails to be replied to with the automatic response.
I hate the overshare. It drives me nuts. I’ve seen a lot lately that say essentially “After this crazy year I’m spending some much needed quality family time with Jane and the kids doing abc.” yada yada yada. It seems like overkill and way too familiar. You’re spending time with your family-that’s not noteworthy. Just say I’m out this date though this date. Contact person if you have something urgent.
I’d then check off all that applied—people would laugh each time they saw it bc I’m such a predictable nerd, one or both of the first two lines was almost always checked off…and usually both!
Automatic responses to calls and text messages do a lot for your business. When you have a good out of office replies in place, your customers feel valued and connected. Such a feature is highly significant for business relationships and customer experience.
Sounds like it’s clear in your mind what you want to happen, but I’ve heard plenty of people say, “Of course you took it somewhere else, that’s what I told you to do, and now I have two action-less emails to trash rather than one.”
We used to do this at my old job in addition to OOO messages. I found it useful to know in advance how long people were going to be gone. There’s nothing more annoying than needing something urgently from the one person who can help and then getting an auto-response saying they’re out for the next 2 weeks.
Chances are, you’re taking at least one day off in the coming week. Here’s how, and why, to produce an out-of-office reply that will delight the people emailing you. “Thanks for your message. I’m out of the office for the holidays from Dec. 24-Jan. 2. I’ll respond to your message as soon as I can upon my return. If your message is urgent, please contact (INSERT NAME HERE). It’s benign, and it’s safe. For many people, the example above adheres to “corporate guidelines.” In fact, some companies have templates for out-of-office replies.
