Wherever you go on holiday, you’ll probably have access to the internet at some point. You might want to acknowledge this in your O.O.O. – but it’s also worth forcing the sender to question if it’s really worth interrupting your holiday by setting up a very blunt alternative inbox... I know I’m supposed to say that I’ll have limited access to email and won’t be able to respond until I return, but that’s not true. My iPhone will be with me and I can respond if I need to. And I recognise that I’ll probably need to interrupt my vacation from time to time to deal with something urgent. That said, I promised my wife that I am going to try to disconnect, get away and enjoy our vacation as much as possible. So, I’m going to experiment with something new. I’m going to leave the decision in your hands: • If your email truly is urgent and you need a response while I’m on vacation, please resend it to [email protected] and I’ll try to respond to it promptly. • If you think someone else at First Round Capital might be able to help you, feel free to email my assistant, Fiona, and she’ll try to point you in the right direction.
Give yourself some slack when promising people to keep up with their messages. If your vacation ends on January 18, but you know that you won’t be able to check up on old emails for the next couple of days, mention that in your reply.

Setting up an out of office message in Gmail is simple. First, (1) put the message you wrote in the text box and format it properly. Then (2) choose a schedule for your auto-replies. If you know by which date you’re going to get back to the office, you can put that day in. Gmail will then automatically stop sending out auto-replies when the time comes. If you don’t know when you’re going to return you can leave it empty. Out of office replies can also be (3) manually toggled on or off at any time.
The hours in your signature is a great idea! I’m about to have a non-standard work schedule to accommodate medical appointments. Totally stealing this idea!
I actually think that’s a really helpful out of office message? I appreciate how clear it is about who to contact in which circumstance (so you’re not having to do the awkward dance of trying to track down the right people while not inconveniencing the wrong ones), while maintaining a friendly-but-firm boundary around the vacationing person’s time (since none of the options include things like “here’s my cell phone number!”).
I’d then check off all that applied—people would laugh each time they saw it bc I’m such a predictable nerd, one or both of the first two lines was almost always checked off…and usually both!
But nope, we’ve created a world where “I have a dentist appointment and won’t be in until 10 today” is cause for alarm.
The announcement of holidays to the employees should be done in a professional and formal way. One way to do this is to write a memo and send to all the employees to inform them about the upcoming holidays and closing of the office. The other way is to write the letter and send it to each employee individually.
People often forget the power of an out of office message. One could even start their own language, as shown below:
I’ll reply to your message promptly when I return. Should you require immediate assistance, please send an email to [contact name] at [contact email] in my absence.
