Set your automatic out of office reply under the Outside My Organization tab. This is for people outside your company such as clients and suppliers. I do typically come back to hundreds of emails, and I prioritize what to read – things from my boss/leadership are first, followed by communication from my direct reports. I also sort them by conversation thread and read the end of them first, which reduces the burden.
Don’t leave messages that come in outside of business hours hanging. Instead, let them know when they can expect a response. You’ve reached Maggie at HealthCorps. Our business hours are 8-5 EST and I am currently OOO. I will get back to you within the next business day, thanks!
The problem is that some people will just keep the old message, with contact information for their coverage and whatnot. If you do this, it’s important to change the date.
