As a “don’t try this at home” anecdote, last week we had an all staff retreat, and we were asked to put up away messages. I put a perfectly professional one up for outside email, but in a fit of whimsy, the internal mail triggered an away message that said “Why are you emailing? Start by recognizing your backup contacts for the time when you are out of the office. Make sure that, when needed, they can be available to help customers instead of you. Meeting with your co-workers and making everything clear should be one of your top priorities. The person who covers you while you are gone should not find that out by receiving an email out of nowhere. Be professional and plan everything properly — you are about to take a break, after all.
And, although it’s fine to include certain details (e.g. what you’re doing), it’s vital to keep it professional. After all, this email will be sent to anyone who contacts you – so it’s not the place for inside jokes.
In case of maternity leave, make sure that you set up a long-term out of office message.
