At my old job we had a short script for our voice mail messages including whether we were in the office or out of the office. We were specifically told not to say why we were out of the office for personal privacy and protection reasons. However, an exception was soon madeâfor jury duty. Callers were getting freaked out when they got the message âIâm out of the office and donât know when I will return.â They would be worried about the person they were calling and worried about whether or not they would be able to get the info they needed. So if on jury duty we would say, âIâm out of the office on jury duty and donât know when I will return.â
Iâd just stick with âI will be OOO without access to phone or email from XX/YY to XX/YY, returning on XX/YY.â And then whatever directions for directing to your support/backup while you are out. I find that specifically saying âwithout access to phone or emailâ sets a good expectation of non-response.
If you are re-using the existing message from the past, make sure you update the dates so that your clients know when you will be available again. For a general out-of-office message, it is vital to include the office timings.
