As with a regular cold email, the best way to utilize your out of office message is to offer something of value to your client. So if you’re taking a vacation right after the launch of your newest feature or after finishing up on that huge blog post, linking to them may prove to be a very good idea. Explain why that content is useful and the person who contacted you about their thoughts.

Vacation/Out-of-Office Auto-Reply Messages: It’s important to create an email message out of office autoresponder when you are taking a vacation or going to be out of office for a few days. It’s a perfect way to communicate anticipated delays to your clients and customers and it serves a practical function and if you’re doing it right it could contribute to your company expanding.
This template comes handy if you don’t prefer checking your inbox during the holiday but want to provide your mobile number for urgent inquiry.

Thanks so much for your email. I took today off to [rest/relax/travel/spend time with family]. In an effort to come back fully recharged, I won’t be spending today with my phone attached to my hand. Not just that, but some e-mail systems (Gmail comes to mind) have taken to hiding the signature underneath a little expando-button. You don’t see it unless you go looking.
Leave some lights on for safety, but turn off any unnecessary ones before leaving. Test that all main doors are locked, as well as any server or file rooms holding sensitive equipment or information.
If that’s truly what you intend, great. But if not, you may want to take a deep breath and try this: “I am currently on vacation and not accepting emails. Please contact x for any issues while I’m away.” This approach is refreshingly honest and clear. And as long as you’re comfortable with the competence and availability of your back-up contact, you shouldn’t feel funny or guilty about going this route at all.
Not an out of office reply but a voicemail greeting: at a previous job I called someone and her voicemail greeting said that she would be out of the office from Day – Day and that her voicemail wasn’t accepting messages during that time, click! The time in question was six months prior. Plenty of people she worked with and for could have called her on it and apparently had not, so she just … didn’t get voicemails. Like, that was not a way you could communicate with her.

What was weirder is that it took a couple weeks after covid hit for her to turn the message off – which meant that when the entire company was wfh, we would still get an fyi message from her that she was also working from home.
In our company it is very much the norm (though some don’t and it’s not looked down on. It’s just we kinda know every handles the ridiculous amounts of email we get in different ways that suit them). And it’s the norm of the people who so to put that in there because 1. if you go anywhere north of where we’re at, you’ll get zero reception and 2. other people we work with know you normally do.

At my old job, you used to nominate a contact for when you were out of the office and there wasn’t an obvious person to contact. One department was so small that they all just put the all team email so they never had to change it. Trouble is, it turns out Outlook team emails by default only accept internal messages :X
