A separate after-hours attendant menu can inform callers that your office is closed, state your business’ operating hours, and provide options that callers can immediately act upon. The other being I did it once at my current job, pointed them to my boss, and he called me every time someone reached out to him. It was SUPER annoying, because not a single thing was time sensitive or really even remotely important, and if I hadn’t given a contact person they would have just waited. Wow, it’s a bloody snooze fest over here! Just kidding, this option is the most appropriate for 95% of business out-of-office responses. It’s simple, no-nonsense, and tells people all they need to know.
A. To best serve your customers, whether its students, alumni, consumers or other UToledo stakeholders, all department/office and individual voicemail and out-of-office email messages should let them know that UToledo is closed for winter break. Examples of messages you may want to use are below.
No difference! “I’ll be out of the office” is what I use. I find “away from my desk” a little too available, as if I’m only out for an appointment, but I think either one works.

Out-Of-Office templates (OOO) are a type of auto-responder that instruct eDesk to reply automatically to messages that arrive during one-off office closures, e.g., during a national holiday. For example, a customer sends your company a message on Christmas Day, but the office closed at 6pm on Christmas Eve and will not reopen until the 29th December. If you have set up an OOO template for this holiday period, eDesk will immediately respond to the customer with a message that reads : "Thanks for contacting Joe's Bikes! Just to confirm that we've received your message and that a member of our team will respond as soon as possible. Wishing you a very Happy Holiday from everybody at Joe's Bikes". This message is pre-written as an OOO template and is set up to be triggered for any customer messages that arrive between 6pm on 24th December and 8am on 29th December. I worked for a federal contractor back during the Great Recession when government offices were shut down/working with a skeleton crew. I still remember getting OOOs from almost every email address in the agency we worked at explaining they were on furlough & to contact one specific person if the issue was urgent. We all assumed this poor person was hiding under her desk, rocking back & forth, with her head in her hands.
If you’re not sure when you’ll return, don’t include dates. Simply direct them to a colleague.
That’s weird! I would specifically not say maternity leave, since I don’t want to invite a lot of questions about the birth, baby, etc. when I come back to work. Just let me focus on catching up on my job! (I work with a lot of external clients, though. Internal-only would be different.)
I mean, this is what I pretty much did upon returning from my maternity leaves but I would never put it into an email! My maternity leave OOO was the vague “I am on extended leave and am not anticipated to return until X. Please contact Joe or Fergus in my absence.” X being a vague time-frame based on my due date and the length of my leave. No one is waiting 3+ months for an answer so I did get to delete most of the 500 emails I got during my most recent leave! I did once have someone internal tell me I should say maternity leave rather than leave, but really, what does it matter? I’m gone for a few months and no one outside of the company really NEEDS to know why.

The appropriate tone depends on the holiday. If you’re closing for Christmas or New Year’s, it’s safe to assume your customers expect you to be festive and maybe even humorous. Conversely, if you’re closed for Veterans’ day, your email should strike a more serious chord. Use our templates and double-check your tone before you hit send.
