If those weren’t bad enough, if anyone on that lists sets up an out-of-office message, it *automatically* replies all. If the email bounces back, it bounces back reply all. One guy left the company and his email had a permanent out-of-office auto reply. The list was quite busy for a month or so and the message popped up multiple times a day.
Try something like, "For immediate assistance, please contact Boss Name at [email protected]."
Out-Of-Office templates (OOO) are a type of auto-responder that instruct eDesk to reply automatically to messages that arrive during one-off office closures, e.g., during a national holiday. For example, a customer sends your company a message on Christmas Day, but the office closed at 6pm on Christmas Eve and will not reopen until the 29th December. If you have set up an OOO template for this holiday period, eDesk will immediately respond to the customer with a message that reads : "Thanks for contacting Joe's Bikes! Just to confirm that we've received your message and that a member of our team will respond as soon as possible. Wishing you a very Happy Holiday from everybody at Joe's Bikes". This message is pre-written as an OOO template and is set up to be triggered for any customer messages that arrive between 6pm on 24th December and 8am on 29th December. Also, you need to know your audience if you are going to go eccentric. Alison mentions that this message is fine in their culture, but it wouldn’t npbe appropriate for my somewhat formal field. And even if your workplace in general is casual, you might be contacted by someone outside. (In a tiny provincial courthouse I served in the past, there is a story going around that in the 80s a junior but elderly clerk used to address phone callers as hun and sweetheart and generally speak very informally. Most people thought it was funny, and then the President of Supreme Court called and… he didn’t).
Calls/SMS Auto Reply app lets you add customized out of office messages that it sends automatically in response to missed calls and texts so that your clients or co-workers know what they can expect. A prompt auto-response is a great way to save relationships and trust and retain customers. You can use these messages to tell them when you will respond and what they should do in case they need urgent assistance.
Be aware of your tone. Keep it clean and simple. Sullivan says: “Even if you work in a casual office environment, the people emailing you may not. It's fine to have a light tone in your communications, especially when you're in an email conversation with someone directly, but your OOO is more of a blast message—including a cat meme or silly quote could backfire if your OOO goes to, say, a new client prospect or the sales director at a company you've been trying to engage.”
If your auto reply messages give customers the ‘what next’ picture it will make customers feel that you as a brand can visualize their problem by putting in their shoes.
Anybody that might need me that quickly should have access to my calendar and can see I’m in a meeting. Anybody that can’t see my calendar shouldn’t expect a reply in an hour unless I’d said I’d be available or something.
