Something like, āI will not have access to email while I am out and will get back to you when I return. If your issue is urgent, please resend your email after X date,ā would beā¦ more polite, I guess.
You are regarded as a responsible netizen when you imbibe the habit of leaving out-of-office messages. For employers and HR managers, it is worthwhile to teach this practice to your employees. Out-of-office emails show that you are polite and professional, lending credibility to your corporate culture.
.
Itās really only meant as a courtesy but if your culture is different I can see where itās eye-roll y.
The science fiction writer John Scalzi says āThe failure mode of clever is asshole,ā which seems to apply here.
Help your users know when to expect a response. Itās easy to show customers your teamās availability and let them know when they can get assistance from your team. You can manage their expectations by setting your office hours and expected response time.
Being gone doesnāt mean you canāt still be doing good for the company. With a lead generation email, you can inspire action in the receiver. Consider using the end of your message to call for action. You can ask your customers to check out your products, read your blog, or maybe become a part of your affiliate program.

Also, IMO, itās putting the burden of knowing and managing your schedule on the other person. You expect them to be paying enough attention to you to remember when you come back and to resend their request. Thatās not reasonable.

Dear Customer, Thank you for your email, but our company is out of office, celebrating [HOLIDAY]. Unfortunately, it means we will not be able to send you any reply until [DATE]. We apologize for the delay but wish you a wonderful holiday season. Best regards.
Thatās my practice, too, though I only use it for times Iāll be out for a day or more. Some of the work I do and support can be very time sensitive and itās really the most efficient use of *everyoneās* time if I spend two minutes before I leave setting up OOO so that they are quickly directed to the right person instead of having to go check my calendar, see Iām out for a week, try to remember who it is thatās my backup, etc.
You should use your out of office email whenever youāre going to be away from the office ā whether itās for a day, a week, or even longer.
Hello! Thanks for getting in touch. Iām out of the office until [DATE] with limited access to email. But never fear! Iāve left you with some helpful writing tips to read and share.
I can just about see having two OOOs: one for the actual leave time, and one for the first day you are back in the office, so people are aware you are digging yourself out of the emails and to please call or IM if it is time-sensitive.
My phone just sits there gathering dust, so the only OOO message I need is the one I put in my email. Something like āIāll read my email again on X. If you need assistance before then, please contact my colleague NN.ā
