My old job was like that! It was so, so annoying. I understood requiring us to update our voicemails if we were out of the office that day, but it was just a waste of a few minutes every single morning.

Of course, if you’re expecting something (or someone) urgent to pop into your inbox, send them a separate note with your personal email or phone number. Alternatively, you can also just make sure whoever your go-to contact is has that information in case you do need to be reached. Once you handle that, you can do what your out-of-office says you’re doing and actually spend the day recharging.

I take advantage of the ability to send different OOO messages to internal or external addresses. Internal addresses get a couple of people to contact if it’s urgent, usually my direct report and my backup person, since between them they can cover pretty much everything I do, or at least they’ll know who can. External addresses get a more general notice: “I am temporarily out of the office. If your message is regarding the Llama Care project and requires a prompt response from our Llama Grooming Team, please make sure that [email protected] is one of the recipients of your message.” Probably not the most elegant phrasing, but we have a distribution list for this very reason. Even requests that they know only I handle are supposed to go to the LG list.
Witty and funny out of office messages are great, but check out how New York Times' VP of Operations, Erin Grau, uses her out of office response for parental leave as a teachable moment. That's a powerful message about something she feels passionate and connected to.
Type in a message. You can format the text using the tool bar, or cut and paste text you've formatted, including hyperlinked text.
Pro tip: The first works well for both voicemail greetings and email responders, while the next two are most appropriate for emails.
