Email is one of the top tools for business communication. People expect swift responses to their requests. If this expectation will not be met because you are away from your desk, your client or colleague needs to know.

I came across a woman’s Maternity Leave OOO message which said “All emails will be deleted upon my return. If it still urgent after (return date), send another message.”
Over Twitter DMs, one woman sent me her OOO messages from when she was diagnosed with breast cancer. The messages — composed while she was undergoing chemotherapy treatments and recovering from surgery — were detailed and unique. They offered touches of humor, honesty, details about her treatment schedules and set expectations for others trying to reach her. She offered alternative contact options for potential emailers to make sure urgent requests didn’t fall through the cracks but offered a dose or reality as well. I particularly appreciated this line:

Out-Of-Office templates (OOO) are a type of auto-responder that instruct eDesk to reply automatically to messages that arrive during one-off office closures, e.g., during a national holiday. For example, a customer sends your company a message on Christmas Day, but the office closed at 6pm on Christmas Eve and will not reopen until the 29th December. If you have set up an OOO template for this holiday period, eDesk will immediately respond to the customer with a message that reads : "Thanks for contacting Joe's Bikes! Just to confirm that we've received your message and that a member of our team will respond as soon as possible. Wishing you a very Happy Holiday from everybody at Joe's Bikes". This message is pre-written as an OOO template and is set up to be triggered for any customer messages that arrive between 6pm on 24th December and 8am on 29th December. Having easy access to your work even when you away from the office doesn’t mean you don’t take time to disconnect and relax for a while. You deserve to take a break, muting all the mailboxes and switching off your work phone for a couple of days or weeks. However, there is a lot you should put in place before going away from your office, in the true sense.
You’ve been busy planning out your tasks, tying up loose ends, and working ahead to ensure you can disconnect, recharge, and relax over your holiday break.

A couple work friends and I banded together years ago to fill each others’ voicemails so it would be impossible to leave us new voicemails.
If you want your message to be formal, avoid using contracted forms such as I’m and I’ll as well as informal or casual language. It’s also a good idea to start your message with an expression of thanks like: If your audience isn’t from your work environment, you could take a risk with something more fun and personalised:
A literary agent I follow told the story of a long argument her autoreply had with a would-be author. She’d set up the outbound email while out of town and apparently an author who queried her with his book took offense to it. He replied back in frustration that he didn’t get a personal response. Her autoreply sent back another automated message, which he then in increasing anger kept responding to.
