If you’re reading this, the train wasn’t able to push the DeLorean up to 88 miles per hour, and I’m stuck in 1885. I won’t be able to respond to emails until exactly 8:30 a.m. EST on [DAY OF WEEK], [DATE]. If there’s an emergency, good luck. Try to get ahold of Doc.
Here’s my pet peeve: OOOs that specifically state the person “won’t have access to email.” It contributes to this pervasive idea that an employee who might technically be ABLE to check her work email while OOO better have a damn good reason why she won’t be doing so. Which calls back to the reason someone’s OOO is no one else’s business. Whether you’re OOO because you’re on your honeymoon, having your gall bladder removed, or robbing a bank, OOO should automatically imply unavailability for work stuff. Full stop.
“We will get in touch with you very soon”.“Thank you for reaching out to us”.“Our representative we contact you ASAP”.
Automatic responses to calls and text messages do a lot for your business. When you have a good out of office replies in place, your customers feel valued and connected. Such a feature is highly significant for business relationships and customer experience.
Hollywood star turned gin distiller Ryan Reynolds showed last summer how the OOO can become a marketing tool. “Thank you for your email and interest in Aviation American Gin! I’m away from my desk at the moment but will respond the moment they give me a desk,” began his first attempt. A few months later, along came another: “This is only my 2nd OUT OF OFFICE REPLY. From what I’m told, it should be short, sweet and NEVER overly personal or emotional.” After TV host Jimmy Fallon asked him to read one out on The Tonight Show, the resulting influx – around 20,000 emails in a single day – to [email protected] melted the small brand’s servers. Fortunately, it also reportedly piqued the interest of retailers and restaurants, keen to start carrying the tipple.
What makes this a decent example of an OOO message is that it’s candid, (hopefully) honest, and blunt. There’s no guessing whether or not this dude is going to respond to your email this week. Also, it gives us a bit of an insight into his life right now, which helps communication in the moment and in the future. He’s burned out. Even if you did manage to reach him, it’s likely he’d be resentful, even if he didn’t say so. There’s a good chance the sender of the original email will identify with this and respect his time.
What would be annoying would be receiving multiple emails from me to see if the pet changes each time the OoO is triggered, along with follow-up emails from me inquiring about Fluffiekins’s adoption status. :-) Otherwise, this is BRILLIANT. And on brand.
I can just about see having two OOOs: one for the actual leave time, and one for the first day you are back in the office, so people are aware you are digging yourself out of the emails and to please call or IM if it is time-sensitive.
Ha – I didn’t watch the video but still definitely get the condescension! It’s a LOT of extra explaining and direction when something like, “if you need immediate assistance, please contact Fergus at…” will do. In my opinion, cutesy stuff like this is mildly entertaining at the beginning but gets dumb/annoying shortly thereafter. Not just with OOO messages, but other instances where companies try to make being “cool/funny/laid back” parts of their brand in really obvious ways.
I might sound nitpicky but the language is important. “Might” or “may be” or “slower than usual” are vague and don’t offer the sender all that much information about when you’re really going to respond to them. Worse, they do a horrible job of protecting the time of the email receiver who, as the responder notes, is not in the office! Such a responder implies that, not only will the vacationer reply to the email, but they may not even miss a beat. They may be slow to respond, but they also might not.
I will surely respond to your email when I’m back in the office. But, if this requires an immediate response, please resend any messages that require my immediate attention with a subject line of “URGENT: [Original Subject]”.

(Aside: at my job, when you open a new browser window, a random picture of employee pets pops up. It changes every time. I could just refresh all day long.)
