A. To best serve your customers, whether its students, alumni, consumers or other UToledo stakeholders, all department/office and individual voicemail and out-of-office email messages should let them know that UToledo is closed for winter break. Examples of messages you may want to use are below.

Just because it’s an automated message doesn’t mean you can’t seize the opportunity to collect leads. Provide the opportunity to collect an email or address within your text response. I thought this was great. It addressed the fact that when people call, it might be something that doesn’t need immediate attention, it could be important, or it could be critical. And it did it in a humorous way.
We do OOO messages, but also send an email to the department and other relevant people, so that part doesn’t sound odd to me. I want to know if someone is going to be away next week, because then I can plan accordingly instead of sending them an email about something important Monday morning and find out I’m SOL until the following week.

Including even a passing reference stating that your customer’s email is important to you shows your appreciation for the message that you are currently unable to respond to.
