If your request is urgent, there’s no use sitting idly in my inbox. So please send your request to [Contact Name] at [contact email]. Whether you prefer to stick with something simple or have a little fun with your holiday out-of-office message, it’s important that you always make sure to at least include the basics: your return date and an alternative contact people can reach out to for urgent matters.
Thankfully, with a simple out of office message taking a day off doesn’t mean that your communication with clients has to stop.
.
Thank you for your email. Unfortunately, I am currently out of the office and will not return until 3rd November.
Oops, too late! I’m off on holiday right now until the 16th, probably sipping on a margarita while you read this. I’ll reply when I’m back, but if it’s super urgent, contact [email protected]. It wouldn’t be right for this message to go to your boss or a client. If you’re not sure who is going to receive your message, we suggest following a more formal template.
A retired small town newspaper guy once told me about the first time the publisher went on vacation and left him in charge (this would have been in the 80s). The publisher told him “Don’t call me unless the building burns down, and even then, don’t call me until the fire is out.” Good example of management setting vacation expectations.
Setting a proper out-of-office email also puts pressure off you when you have limited time to respond to emails outside the office. We will look at a few examples together here:
Pet peeve: a fe people I know use the OOO reply to say something like ‘Have a great day!’ It is on all the time, and for no helpful reason.
call center: A call center is a centralized department to which phone calls from current and potential customers are directed. Call centers can handle inbound and/or outbound calls , and be located either within a company or outsourced to another company that specializes in handling calls. I only set my out of office if I’m going to be gone for more than one full day. Like, right now I don’t bother if I’m going to be out for one day, because in general the people who email me either know I’m out for a day or are unfazed by waiting 24 hours for a response. The last time I went out of office for a week, I came back to about 65 emails, 9 of which would have actually required my attention when I weeded through them. If I got a higher email volume, I’d do for a single day though.
After all, your goal is always to keep your business associates happy. For that reason, you should have a backup co-worker who will cover some of your work while you are not available. Not only is this the professional way to go, but it will also leave your customer satisfied with the company’s service.
