But as you frantically try to clear your desk for the weekend, every email you send prompts a suspiciously swift reply. Yes, it’s the dreaded out-of-office auto-response, set to tauntingly remind you of a world of leisure while simultaneously pushing it further from your reach.
You can set up your Auto Attendant to greet callers with a message before forwarding the call to a number outside of your 8x8 system. Log in to 8x8 Admin Console. Click Auto Attendants. Click Edit (pencil icon) to the right of the Auto Attendant you wish to edit. Click Edit Settings. Adjust the number of seconds the system should wait before taking the next action. If desired, set the toggle to allow users to Dial an Extension at any Point during the recording. Set the If user inputs no key, replay menu option to 0. This means that the call will directly route to your external number. Set the And Then action to Route To. Click the drop-down box and type the external phone number. Click Save in the Settings window. Save your Auto Attendant profile. I pretty much never pay attention to out of office replies, just note if there is one. If I really need something urgently I’ll look to see if there’s another person’s contact info, but it’s rarely that urgent. I might also look for a return date, if that matters to me. It would annoy me if I had to wade through a wall of text to find either of those things.

Again, this will depend HUGELY on what sort of role it is (an external-facing vendor, for example, should probably not use something like this). But for many internal requests, it is not power-tripping to ask someone to either redirect their email or wait until a later date to send it.
Oh, this reminds me of the best out of office I ever received. It was three years ago, but it was so funny I saved it. All of it was gold but the sign-off was “Hoping that you are at least a little bit jealous (why else should I go on vacations to begin with?), I remain truly Yours, etc”.
Yeah, I do think some are pretty funny (eg tan lines) and some are not so terrible, but I honestly think she took them incredibly seriously and wasn’t trying to make her colleagues laugh as much as just ….. put out an air of “look how personable and authentic I am”. She also lamented that other people’s OOOs were “rigid” and why couldn’t people have fun?! Which again, sounds not so bad but was someone who would regularly ask prying inappropriate personal questions, so it came across less like “let’s loosen up” and more like “why won’t people tell me the specifics of why they’re off today, because I deserve to know”.

And yet regardless of your job description, the humble OOO can do much more besides simply telling people not to expect a prompt reply. Crafted subtly enough, it can even drum up business for you. As an employer one of our policies is to Call in absent days not text them in. This hasn’t worked well as employees ( especially young employees) will still text in those types of messages. It would be wonderful to have a feature in the iPhone that allows for instant text response that can be set up for certain contacts( employees). Something similar to an out of office message in email…” I am not receiving text, please call … … …. and speak to me directly”
The majority of your out-of-office emails will go to recipients with whom you communicate regularly. If you are sure that there’s a certain level of familiarity with all of the people that get your auto-reply messages, consider writing something about yourself, a funny note, or a joke. That allows them to develop a more personal relationship with you.
