One way to do this is to write a memo and send to all the employees to inform them about the upcoming holidays and closing of the office. I saved this one for the last example. It’s exactly what anyone would like to say when an associate messages them regarding any work during the holiday season. It talks about the ‘me time’ and also shares empathy for the sender. Especially, asking the sender to order the Pepperoni Pizza after stating the date of return is a fab movie. One of the best ways to display empathy is being humorous as it doesn’t put the other person into pressure- it makes way for helping them take the situation lightly!
When you have to be away from work even for a day, you have to add an out of office message so the person who is looking for you will know that you will delay with your answer or to know who else can contact you.
Alternatively, some people will check their email while on vacation. Then, the text should indicate how often people may expect their email to be seen and acted upon.
Hey, Thanks for your email. I’m not in the office and am on a family vacation. I assure you that all your emails will be answered as soon as I return to the office on [date]. Kind regards.
Honest communication, even in the form of an email auto reply, is a roadmap. It helps people understand how best to help you and, in turn, allows them to better help themselves. Straightforward expectation setting is a way to be respectful of your coworkers’ time and pressures, but most importantly, it’s a way to be respectful of and guard your time. Even if you don’t feel an intense need to be more open in your workplace correspondence, consider modeling the behavior for others who work with you or, especially, those who work for you. It’s a small change in behavior but it’s a meaningful one. And this summer is the perfect time to start.
I have a colleague who directs people to email an alternative email alias when she’s on leave. This alternative email alias? Yup goes to her. Don’t know why she does it. She’s also set a rule in her team that they have to answer each others’ phones of someone is away from their desk. Inevitably, the person answering the phone can’t help and tells the caller to send an email. It drives me up the wall.
