Maybe I'm over-reading your advice or observations here, but, like, being straightforward and honest without being deliberately blunt or getting in your bon mots is basically the expectation at most of the companies I've worked at. Professional politeness is fine, and good, actually, as long as it's not a cover for other, less praiseworthy behaviors, and what constitutes "important" is going to vary wildly, depending on whose boss is the one assigning the tasks — my boss may not care that an employee's access to a system gets delayed by a week or two, but the employee whose sales are dependent on having access to that system certainly does, for entirely understandable reasons. I think it’s irritating and condescending and could have been funny if only one of the goofy elements was incorporated, instead of trying to make a cohesive comedy bit. It seems like the points should be reversed. Most urgent to least urgent. If I have a truly urgent issue I don’t want to read through that I should ask myself if it’s important and urgent. If it’s something that can wait, I’ll just expect a delay. If it’s not important or at least worth communicating, I wouldn’t be sending the email.

  • what to put as your voicemail

    I had a boss that required OOO messages anytime you left the office. A single sick day, leaving four hours early, coming in two hours late, etc. This at an org that didn’t require quick email responses, and at which people typically only put up OOOs for multiple days out.

    But I'm someone who has co-workers in almost every time zone, on almost every continent, and in almost every geographic region, and I simply can't imagine using most of these examples with co-workers in, say, South Korea or Japan or Nicaragua. Like, the account manager who reaches out to me for help accessing a particular system in Seoul doesn't need my personal story about why I'm taking time off and all the fun (or, for that matter, not fun) things that I'll be doing — they need help gaining access to [system] in order to complete the job tasks that have been assigned to them. If I am not available to help them, they need to know who can, and if there just *isn't* anyone else who can perform this task, they need to know when I will be able to.
    Once the person reaching out to you realizes you’re gone, they may panic if they have a legitimate need for immediate support. The best way to avoid this is to let your callers (and emailers) know how to find the appropriate help.

    But this is where it becomes a power thing. The OOO person says that everyone else wants stuff from them that the sender can’t get elsewhere and you need to grovel to get it from them.

    An out of office message is basically a quality of life feature both for you and your business contacts. By warning your clients that you won’t be able to reply to their message right away you save the time they might have wasted on follow ups. You also won’t lose prospects who might’ve believed that you’re ignoring their request otherwise.
    Use this response if you’re in a millennial workforce or you want to seem ‘down with the kids’. Or if you spend way too much time on Twitter. hitting your inbox between [date] and [date]; got sent to you unusually quickly and; is the same response no matter how many times you email;

  • how to leave a good voicemail message

    Out of town? Your callers should know. Let them know with the following vacation voicemail greetings.

    Holiday messages are short phrases, where people wish happiness, joy and cheer to others. At certain times of year like Christmas and Thanksgiving, employers and employees send these messages to let recipients know they care. Depending on the recipient, your holiday message may be more formal or casual in tone.
    Depends on the system. Our Outlook is set up so that if you’ve got someone with an OOO in the “To” field, a note shows up saying that they are sending automated messages, and you can see the message. Convenient, since then I can add the person covering their stuff to the email without sending a second email.

    Thank you for your email. I’m out of the office and into the cookies and eggnog right now. I’m celebrating the holidays with my loved ones and will not be checking my email until [return date].

    I know I’m so late on this, but my FAVORITE one I’ve ever gotten was from one of my company’s Presidents (so a very high up muckity muck type).
    If you’re looking for a classic OOO message, this one is for you. Perhaps you work an industry that values directness and getting straight to the point, and playfulness may be off-brand. This response covers all of the most important bits of information every OOO needs: the date you will return to the office, when they can expect a response back, and who to contact in the meantime. That’s it!

(first line in the second one refers to the new exec for our function starting that same week – an internal move). If I can get the date I’ll be back into the haiku I do, otherwise I put it afterwards, along with the person to contact in my absence. Obviously if I’m off sick or otherwise can’t be bothered I don’t do the haiku.
