Yeah I think itâs fine if someone is out for a long period of time. Itâs simply too much of an endeavor to find the few relevant emails out of thousands. But for a week or two, Iâm sorry but you have to manage your inbox. I know, it sucks. We all get too many dumb emails.
Or, announcing a trip on social media could result in email or social media offers too good to be true. It could open the door to spoofed travel details from an airline or hotel from thieves looking for credentials. Because so many employees use the same credentials for business and pleasure, this can put the organization at risk of an attack.
Before we further discuss some of the examples of a good out of office message, decide for yourself what you want to get from it and what tone are you going to use.
Finally, if youâre doing something incredible for the holiday break, you may as well let people know about it. Heading skiing for a few weeks, or going on a cruise? Put it in your out of office! Itâs not like your emailers can do anything about it.

I struggle with naming a contact too. My current job doesnât really have emergencies, so while my second in command could handle stuff I normally would, should she have to? Also, 98% of the people that would get my OOO would know who to go to anyway if they actually needed something urgent. I hate to make someone elseâs life harder for my own convenience when itâs not even needed.
I try to substitute âparental leaveâ for âmaternity leaveâ whenever possible. Trying to normalize it as a benefit to all employees (at my company) rather than a special lady-vacation.
That said, I promised my wife that I am going to try to disconnect, get away and enjoy our vacation as much as possible. So, Iâm going to experiment with something new. Iâm going to leave the decision in your hands:
In most cases, the voice of your out of office message should be similar to the voice youâre using while communicating with clients. If youâre usually formal, replying with a joke could be jarring â and vice versa. Your mileage may vary, but keep that in mind before setting up an automatic reply.
I take advantage of the ability to send different OOO messages to internal or external addresses. Internal addresses get a couple of people to contact if itâs urgent, usually my direct report and my backup person, since between them they can cover pretty much everything I do, or at least theyâll know who can. External addresses get a more general notice: âI am temporarily out of the office. If your message is regarding the Llama Care project and requires a prompt response from our Llama Grooming Team, please make sure that [email protected] is one of the recipients of your message.â Probably not the most elegant phrasing, but we have a distribution list for this very reason. Even requests that they know only I handle are supposed to go to the LG list.

Donât beat around the bush! This is an expression that means you should get to the point. That is, you should make your message direct and brief. This will let the recipient quickly know that youâre not available and who they can contact instead. You can start with a simple greeting and then proceed to the message like in the following examples:
