I work at an animal shelter and I have included a picture of an adoptable pet when I’m on vacation – I don’t know if that comes across as annoying or not, what do you think? Basically, it’s “I’m out until X and I’ll return your message when I get back. In the meantime, take a look at Fluffiekins here (picture, link to bio). Will she be adopted before I return?”
He/She’s OOO boohoo Thanks for your email (and for tolerating the above poem). I’m currently out-of-office from [date] until [date]. I’ll be back on [date] and will be happy to respond to your email then. Cheers,
.
Out-of-office messages are critical to keeping things moving smoothly during times when employees are absent. They also serve as reminders to others of what day you won’t be available.
“Ideally, an OOO should include the basics,” says work and wellbeing psychologist Kate Sullivan. “The dates you'll be gone, an approximate timeline for when someone can expect to hear back from you upon your return, and how any urgent requests will be handled in your absence.”
Plus, he incorporated a delightful technique to let people know that if they really wanted him to read their emails, they should probably send them again after his return. Not only does that keep the sender accountable by saying, "If this is really important, you know when to reach me," but it also helps him truly vacate his work while he's away. And that's hard to do.
Your clients should know when they can expect a response and when you might be unavailable due to unforeseen circumstances.
Although out of office emails are usually used when a person’s on holiday, they can also be used in a number of other circumstances.
The main thing to equivocate over for this sort of response is what details to include as a backup contact method. If your line of work means clients might need to urgently contact you, a mobile number might be appropriate, or if you’re lucky enough to have an assistant (must be nice), you can list their contact details.
Education Details: I will be checking my voicemail messages periodically, so please leave me a message and I will return your call as soon as possible. If you need immediate assistance, please contact my assistant, Suzy Jones at 1-800-555-1212 extension 6336. Hi, this is Jim Smith. I will be out of the office and returning Monday, April 21.
That’s exactly how I set up mine, except that ordinarily I’d have several options, like: “If you need help with X, call A. For help with Y, call B. For help with Z, call C. For anything else, call my manager at extension 000.
