The worst one I ever received was from a coworker (senior to me, but not my manager) many years ago. I’ll paraphrase it as my memory isn’t great:
I’ve seen similar things with OOO messages where people would update them practically daily. “I’ll be away from my desk from 9-2 with intermittent emails and then on a call from 3:-3:45” and ….dude. We don’t need that much detail every day.
Basically, email replies usually follow the normal pattern of writing professional emails. You may have to begin with an acknowledgment of the last email before replying the questions in the email. So, for whatever reason you’re out of the office, your email inbox should be informative with any information about office closures or unexpected absences: Include an expected return date and time. Offer alternative point of contact and their details. Add the general office contact number and email address if you don’t have a specific point of contact. Be friendly and warm in your tone, even if you choose to keep it simple.
I don’t usually read the messages anyway, I just take it as information that the recipient won’t see my message right away. If that will cause issues, I’ll contact someone else.
When it comes to professionalism, keeping things short and to the point is a good idea. What’s more, if you write a short auto-reply email, you don’t spend too much of the limited time you have left before your vacation.
