When you’re away from the office, it’s important that people know where they can reach you. This is especially true for those who work with you on a regular basis. If you have an email address or phone number listed as “out of office,” then everyone knows how and when to contact you. But what should go into this note?
Generally, people will indicate that they will reply to the email when they return.

The season of good cheer is upon us and you can feel the anticipation in the air. Most of us will be taking at least some vacation, and we all want to get the most out of our time away. So before you re-post your standard out-of-office reply, stop and ask yourself: will the way you’ve written the message really help you do just that?
Both your customers and your employees need to know how long your business will be shut down for the holidays. Provide notice well in advance. Depending on the types of services you offer, you may need to start notifying customers as early as a month out. It would be best if you were to provide these important notifications at least two weeks before the holiday shutdown. Employees should also be reminded regularly that the company will not be open during those important days.

An old boss had a pet peeve about this so I became very conscious of making sure that I listed out who to contact on what day… before the group email. So it looked something like this:

People also hate it when some people sign “Sincerely,” but also a bunch of people hate “Thanks” and “Best” and “Toodles” — almost any signature you pick someone will hate. This is one of those areas of language that feels really subjective and culturally dependent and also…isn’t that big of a deal?
When you’ve finally powered your way through that seemingly endless to-do list and are ready to check out of work-mode once and for all, there’s one final thing you need to take care of: Setting your out-of-office response.
