If people know you are on vacation or maternity leave, for instance, they are more likely to wait for your return to follow up. If you are at a work conference, however, they might still expect you to check your email or provide updates.
By completing these items, you alleviate any concerns that may arise during your closure. This also ensures your business continues providing transparency to your customers. No misunderstandings.

The exact dates you will be away. The reason for your absence. This is not obligatory, but bear it in mind. The thing is, people might still attempt to get in touch with you if you’re on a business trip or at a conference. They are less likely to try to contact you if they know you’re on vacation. The people who can assist a client while you’re away. Provide names, phone numbers, and email addresses so that colleagues and clients can keep in touch in case they need urgent help. It makes you look trustworthy in the eyes of the recipient and strengthens your working relationship with them.
While a holiday is a great chance to disconnect and relax, you have a lot to take care of before taking a break. One of these things is setting up an auto-response system that sends out automated messages to everybody trying to call and message you when you are on leave. A thoughtful out of office message lets people know you cannot respond because you are on a holiday.
Thank you for your email. Your message is important to me and I will respond as soon as possible. Thank you!
In conclusion, an eager customer trying his or her best to reach out to you is the last person you want to disappoint. Make their day special with an unexpected or quirky autoresponder email that your customers wouldn’t have thought they’d see in their inbox in a million years.
But I'm someone who has co-workers in almost every time zone, on almost every continent, and in almost every geographic region, and I simply can't imagine using most of these examples with co-workers in, say, South Korea or Japan or Nicaragua. Like, the account manager who reaches out to me for help accessing a particular system in Seoul doesn't need my personal story about why I'm taking time off and all the fun (or, for that matter, not fun) things that I'll be doing — they need help gaining access to [system] in order to complete the job tasks that have been assigned to them. If I am not available to help them, they need to know who can, and if there just *isn't* anyone else who can perform this task, they need to know when I will be able to.

Everything’s a little off-kilter as we continue to contend with the COVID-19 pandemic. It’s hard to step away from work when the “office” is the dining room table you can see from your couch. It feels a little strange to take PTO when travel and boisterous family gatherings seem like a distant memory. You might be working odd hours so you can juggle childcare and other responsibilities. Or maybe your full-time job became a part-time one (or an on-hold one) as a result of the economic downturn that hit along with the coronavirus.
Thank you for your email. I’m out of the office and will be back at (Return Date). During this period I will have limited access to my email.
If you don't see Automatic Replies after selecting File, you're probably using a Gmail, Yahoo, or other POP or IMAP account that doesn't support the Outlook Automatic Replies feature. You can setup a rule that will reply to incoming messages, but only if you leave Outlook running. For more information, see use rules to send an out of office message. Thank you! Any more feedback? When you’re trying to contact someone on a matter of importance (or even urgency) on one side of the equation and you find out via an autoresponder that they are away for vacation, it can be incredibly frustrating unless they’ve done the front-end work beforehand. (I’m speaking from personal – and recent – experience here. And worse, there was no auto-responder set up. I had to use the – gasp! – telephone to find out what was going on.)
If you receive a high volume of customer service texts, you may want an auto-response in place that acknowledges a customer query has been received. This can help buy you some time while attempting to reach as many people as you can. Hello! We received your inquiry and our support team is on it. We’ll get back to you in 20-30 minutes. Thank you for your patience!
