If you don’t work Tuesdays and Thursdays, but those are considered standard hours in your business, clients or other folks outside the office might email you on Tuesday morning with something important, not hear back and not know why — and get irritated. Who says an autoresponder needs to be impersonal? You can use your OOO message to continue building a relationship with present and potential customers by showing off the knowledge and products you have to offer. You can include a case study, a downloadable to your latest report, or a link to an excellent blog post you published. Not only does this further your credibility, but it also allays the feelings of frustration customers might feel while not being able to reach you.
While you certainly don’t want to go on and on in your message, there is an opportunity to engage or educate while you’re away. Here are a few options to potentially include.
Dear Customer, Our office will be closed from [date] until [date] and close again for December 31 and January 1 to welcome the New Year. We wish you the warmest holiday. Regards. [Company name] ——. Dear Customer, Please note that on [day], [date], is [holiday name]. The store will be closed all day and will open again at [time] on [Day].
The email I send out always says something along the lines of “I’ll be away Thursday and Friday, so if you need anything from me, please let me know before noon on Wednesday. Thanks!”
If you receive a high volume of customer service texts, you may want an auto-response in place that acknowledges a customer query has been received. This can help buy you some time while attempting to reach as many people as you can. Hello! We received your inquiry and our support team is on it. We’ll get back to you in 20-30 minutes. Thank you for your patience!
Please note that all queries and orders posted at least [X] days before [starting date of the holidays] or during holidays will be processed immediately once we are back at the store.
This message is automated because I won’t be in the office until [DATE]. I will get back to you as soon as possible when I’m back at the office.
A client rings to tell you your out-of-office message has a typo in it, or, worse, is mind-numbingly boring. Suddenly you’re wrenched out of holiday mode and back into the throes of work, weeping as you log back into your email server to change your response as your shandy grows warm and flat.
