Unfortunately I didn’t save it, but I once received of office reply that included a synopsis of the “comedic novel” they were working on during their time off.
5. Internal out of office reply template. An internal reply can use slightly more informal language but should not be too casual. Remember that any employee, including management, will be able to see this auto response if they email you.
An out of office message is a compact text that conveys the most important facts: How long you’ll be unreachable, when your contacts can expect an answer, (optionally) the reason for the absence, and, if necessary, a personal note. Yeah, announcing you were going to delete emails unread and expecting the sender to resend when you return would NEVER fly in my office. I’d get executive complaints about that, especially if it went to a client or outside party – if a client can’t reach you, they will reach out to someone else who may not work at your organization and you lose business. I feel like this delete-it-all philosophy would only work for an entirely internal role where timelines are more relaxed, and even then, I feel it’s a bit unprofessional to foist your own catch-up work onto others, especially if they’ve been backfilling for you while you were OOO.
One thing that happens when you regularly send a newsletter out to tens of thousands of people is that you see a lot of automatic Out Of Office (OOO) email responses. The most common one I receive goes something like this: Hi, I’m out of the office until __ and may be slow to respond to email. If it’s an emergency, you can reach me at __ or please contact __. Thanks!
Unless you work in an industry well known for grownups being good at smart and bad at practical. Then, you do.
