Whether you prefer to stick with something simple or have a little fun with your holiday out-of-office message, it’s important that you always make sure to at least include the basics: your return date and an alternative contact people can reach out to for urgent matters.
Out-Of-Office templates (OOO) are a type of auto-responder that instruct eDesk to reply automatically to messages that arrive during one-off office closures, e.g., during a national holiday. For example, a customer sends your company a message on Christmas Day, but the office closed at 6pm on Christmas Eve and will not reopen until the 29th December. If you have set up an OOO template for this holiday period, eDesk will immediately respond to the customer with a message that reads : "Thanks for contacting Joe's Bikes! Just to confirm that we've received your message and that a member of our team will respond as soon as possible. Wishing you a very Happy Holiday from everybody at Joe's Bikes". This message is pre-written as an OOO template and is set up to be triggered for any customer messages that arrive between 6pm on 24th December and 8am on 29th December. My pet peeves are too much personal information (no need to tell me your cousin had a hysterectomy) and the ones that are carbon dated, e.g. from 2018.
Here’s my pet peeve: OOOs that specifically state the person “won’t have access to email.” It contributes to this pervasive idea that an employee who might technically be ABLE to check her work email while OOO better have a damn good reason why she won’t be doing so. Which calls back to the reason someone’s OOO is no one else’s business. Whether you’re OOO because you’re on your honeymoon, having your gall bladder removed, or robbing a bank, OOO should automatically imply unavailability for work stuff. Full stop.
