You can use software like AppogeeHR to set up vacation emails that will automatically turn on when you go away for approved leave. You can also create templates of emails to share with your team with a tool like Right Inbox.
The OOO: was there ever a less apt acronym? (Ooo? Ugh, more like.) It wouldn’t be so bad if it actually worked when it was your turn to set one up, but unless you happen to live in France, where a worker’s ‘right to disconnect’ is enshrined in law, the twin fears of missed opportunities and the mail mountain that’s piling up in your absence will likely keep you furtively glancing at your in-box.

Option 1: Wait it out. Ask yourself, “Is this urgent and important?” If it isn’t, take a beat and give me a chance to respond after I dig myself out of my inbox later this week. You and I will be better off with this expectation set now.
My snarky colleague sure did in his out-of-office message below. We send thank-you letters in response to holiday gifts, so it's only natural to expect the same gesture in our work inboxes …
Sure, Kopelman is truthful about the fact that he's on vacation, but he also lets the recipient know that he or she would be interrupting important family time if the first option is chosen. It states a point simply and uses humor to avoid making it sound like he wants the reader to feel guilty.
My pet peeve is when people put a contact in there but then don’t include their contact info, assuming anyone would have it. I don’t always and that’s super annoying.
My employer uses Outlook and it has an option to display all OOO messages when you add the person into the To/CC/BCC fields of an email, prior to sending it. It’s pretty great and actually saves an email sometimes because I can see who I should contact and just go to them.
You don’t have to stop using OOO messages. Instead, they need to be used wisely. It’s okay to suggest an alternate contact while you are unavailable or add a date when you will be back in action. Just skip the details about why you set up the out of office message. No one needs to know that your son is getting married in Paris. Remove any personal details in that message, including personal cell phone numbers or an alternate email where you can temporarily be reached.
