A good voicemail greeting is short and professional, lets people know that you’ll get back to them, and invites callers to continue engaging with a call-to-action. You should also show your personality if you’re in an industry or role that allows that. If your industry is more conservative, however, you’ll want to keep humor and personal touches to a minimum. We have some field staff who have out of office replies set up for when they do fieldwork. On one hand it’s nice I guess, but on the other hand, they aren’t dealing with urgent matters only they can handle (they don’t manage projects or deal with clients), so it seems a bit unnecessary? No one has been disciplined for not responding to an email the same day. But maybe I’m just a crabby Gen-Xer, and a client can stand to wait a few hours or until the next day to get an answer from me.

I’ll also admit to not changing my voicemail for OoO in the past 3 or 4 years. I rarely get calls anymore it’s just not worth it… I figure if they don’t reach me by phone they’ve already emailed me or will email me after the voicemail.

I personally like it. Of course, the emails that I’ve seen still say what to do if the matter is urgent and needs to be handled now — but as a person who gets 100+ emails a day, whether I tell you I’m deleting all of them when I get back or not — if it is in the thousands of emails that might accumulate in the time I am off, I’m not going to see it or respond. Better that I tell you now that you are going to have to resend the email after I return (or get my backup to handle it now) than you sit around waiting for a response that is never going to come. It is actually pretty common in my industry for any absence two weeks or more.
Great article but I have two issues: everytime I use my phone I must say I am not driving, then remember to turn back on manual mode so DND turns on again… and the Urgent message distracts from my auto-reply encouraging customers to book appointments online… Any way to turn off the Urgent message? Clients seem to text more often than email these days, and there hasn’t been a way to inform them with “out of office reply”. This article helps me tremendously! Also, there should be more built into our phones for texting like email: read, mark as unread, and prioritize contacts of different rows or colors indicating favorites, contacts, and non-contacts (pesky customers who bombard you afterhours).
