In the digital age, most of us follow brands on social media. When a client follows a company on social media, it keeps them fresh in their mind and makes them more likely to do business with them. You can set an out-of-office to make it easy for a customer to connect, stay current, and maintain the brand loyalty that social media provides.
A well-deserved holiday deserves a substantial out-of-office message that really hammers home the fact that they’re still working, while you’re off on your travels – nice and descriptive to really paint the picture!

Maternity leave is a time when the extended time is taken off of work for the birth of a child. This can leave quite a loss at an organization where the fulfillment of an expected role is being fulfilled. Leaving a maternity leave out of office message will forward on the expected contact for your job while you are gone. This will ensure you have less pile up of paperwork when you return while the business has an ability to continue onward. Here is a look at some great samples that will get your auto responder set up.
Informal approach helps your clients think of you as of a human being. This alleviates some of the annoyance they may feel because of not receiving a proper reply. Generally, making people laugh is a great way to make people remember you. Do that and your clients won’t switch to a competitor.
The one that gave a personal cellphone number (they didn’t have a company phone or were required to use it for work) while out on vacation, with a comment like “I’m out on vacation from date x to date y and in my absence please contact Jane Smith but if you don’t get any joy please call my personal number if it’s urgent”.
In the Message and Language section, select the language and enter text, images, and hyperlinks into the Message field. For instructions on language and the use of snippets, click here. Pro Tip: Within the message body, we recommend that you don't use phrases such as: "We are currently out of the office" or "Our office hours are....." Instead, use generic phrases such as "We have received your message and will be in touch." This approach protects your SLA in marketplaces that use detectors to discourage automated responses, which look for these key phrases and may not approve the message as a valid response to reset the SLA.
The worst Out if Office I’ve seen wasn’t about the wording, it was how it looked. For some reason, some lawyer decided to write their OOO in lime green font against a deep blue background. SO GARISH. I could not read anything. Highlighting the text didn’t help either. Had to copy & paste it somewhere.
Oh heavens no. All I ask of an out of office is that it tells me when the person will be back (if known) and who I can contact in the interim.
If you’re in a rush or just not sure what to write use some of these out-of-office email examples in your next auto-response email message.
Not me, but a friend of mine once received an OOO that simply said “I am having an out-of-office experience.”
By bringing some automation into the process, you not only ensure that your staff is leaving vacation email messages that cover what’s needed, but you’re also eliminating the possibility that team members will forget to turn them on.
This is something I recommend doing only after you understand the dynamics of your workplace and your clientele. If it falls under the “okay” category, this unapologetically real out of office email can be a talking point when you return to your cubicle. It’s a short, simple, and sweet yet savage email. You can tweak the wording to write a bit of a diplomatic message based on your organization.
I’m with you. It comes across as a bit scold-y, like chastising someone for emailing while you’re out and treating them as if their issues aren’t important.
Hi there, Thank you for reaching out! We are currently in the middle of our busy season so our reply may be delayed up to three days. We appreciate your patience while we look into this for you! Thank you.
I don’t usually read the messages anyway, I just take it as information that the recipient won’t see my message right away. If that will cause issues, I’ll contact someone else.
“Happy Holidays” is typically used when you aren't really sure what holiday someone celebrates. In that instance you are replacing Christmas or Hanakkuh with the word Holiday making it a proper noun, which means it should be capitalized.
