Hi, I’m Troy McClure. You might remember me from such out-of-office messages as Avenge My Death if I Don’t Return from DMEXCO and Bye Now, I’m on an Absurdly Long Cycling Trip.
You might receive multiple emails from coworkers and clients if you’re not specific about your absence dates, which will clog your inbox and make it hard for you to remain productive when you get back.
.
Unfortunately, I will not be able/ delayed in answering your e-mail till 23rd Nov.
Yes, qualifiers can be helpful. Limited vs no email access, out of the office versus working off site, regular out of the office versus extended leave, etc.
I’ll be at a work off-site and will have limited availability by phone and email until ___, please contact ___ for immediate needs about ____ otherwise I will respond as soon as possible”
That’s the way ours is set up, so anyone who was emailing that guy at the time would have seen it.
Yet, sometimes compiling the right words can be a bit daunting. You want to be polite, clear, firm, and perhaps even a little festive. Plus, it’s often a task we leave until we’re just about to run out the door for a holiday break.
Use the time away with no employees working to restart equipment such as computers, laptops, etc. Restarts are necessary to keep updates installed and the machines running smoothly.

Amanda works at HubSpot, and she came with a unique auto respondent that asked her contacts to guess where she is. A clear, thoughtful out of office message saves the caller from troubles and inconvenience caused by your unavailability as they know what they should do next. Such a system avoids the negative impact that could come from the inability to respond to calls and messages. Your clients would likely try and contact you again and again, getting frustrated and losing trust in your business.
I’m part time. I don’t use an out of office message, but I do have my hours in my signature, and sometimes include that information in the body of email. They need to know when I’m available to get the work done!
