When one of my colleagues is out of the office, he doesn’t mess around. In fact, he’s turned his auto-responses into a running series of commentary from fictional cartoon character Troy McClure.

Whatever style you may adopt, it’s still useful to know that some of the general rules apply to all instances: Stay consistent with the preferred communication style, particularly if you go for more creative options Double check for grammar and typos, as your template will be sent to many addresses Do not overdo it in terms of using unconventional style, particularly if you are not sure that it will fall on right ears with some of your customers Wrap-up
Different people may create different out of office messages based on what information they want to convey. It can be a simple notification of your absence and the date of your return. Your message can also point the person to some other person or resources to help them when you are away. Let us look at some of the most common examples and templates you can take help from when creating your auto-response out-of-office message.
Make sure that customers who attempt to contact you know when you expect to be in the office again. Most customers will understand the desire to devote time and energy to the family during the holidays, but they want to know when you'll be back to provide them with your usual excellent customer service.
Set a minimum delay for auto-responses. For example, if you set a minimum delay of 1, the eDesk will send the OOO template 1 minute after receiving the customer’s message. If you don’t set a minimum delay, eDesk will auto-respond immediately upon receipt of a message.
Also, avoid those huge signatures or advertising banners. Normally, your business email closing should be in this order: Best wishes, James Walton Editor-in-Chief Woculus Inc. 234-805-392-8068 ext. 12 [email protected] www.woculus.com. After your consideration, jump a line and write your full name followed by your contact details.
My colleague does that just for holidays.. it does say who else to contact, but tbh if I’m emailing him a couple of days before he’s due to return then I’m not massively impressed at the insinuation I should take the action of remembering to resend it… in reality I think he probably does read *some* emails but clearly views the OOO as a way to absolve responsibility if he misses something..
