The following phrases will be very useful when you’re preparing your out-of-office message template. To say you will be absent I will be out of the office. I am not in the office. I am (currently) out of the office. I will be away from X to Y. To redirect the message Should the matter be important… If you require immediate assistance… For urgent queries… If you have an immediate need… …please email X. …please contact X. …please write to/call X.

I know you’re just blowing off steam, but the problem is that you’re working 65 hour weeks, not that they get proper time off! If labour laws were fair everywhere we could all have a proper uninterrupted rest. .

The reason I did it was that the first time I took maternity leave, I came back to thousands of irrelevant emails. It was a chore to sort through them, and finding the ones that were still relevant was like finding a needle in a haystack. And it wasn’t just a waste of *my* time – I often had to reach out to email senders only to hear that no further action was needed, so I was wasting their time too.

I’ll return on [date] or after I watch [favourite holiday movie] one too many times (whichever comes first)—and will respond to your message at that time.
I think the problem is that “at your earliest convenience” is a formulaic convention that uses explicit, almost exaggerated politeness to basically issue a stern direction, meaning “as soon as you possibly can”. When you turn it into “at my earliest convenience” it’s unclear if you mean “whenever it’s convenient for me to get to it” (what the words say) or “as soon as I possibly can” (what the meaning of the formulaic original is). Or else it sounds like you didn’t quite understand how “at your earliest convenience” works.

Hi, I am currently out of the office. I know I’m supposed to say that I’ll have limited access to email and won’t be able to respond until I return, but that’s not true. My phone will be with me and I can respond if I need to. However, I promised my family I would try to relax.

Maybe I'm over-reading your advice or observations here, but, like, being straightforward and honest without being deliberately blunt or getting in your bon mots is basically the expectation at most of the companies I've worked at. Professional politeness is fine, and good, actually, as long as it's not a cover for other, less praiseworthy behaviors, and what constitutes "important" is going to vary wildly, depending on whose boss is the one assigning the tasks — my boss may not care that an employee's access to a system gets delayed by a week or two, but the employee whose sales are dependent on having access to that system certainly does, for entirely understandable reasons. I wish I’d copied it, but once a co-worker in sales had an out of office that was long and rambling and talked about how she and her family were “going to visit Mickey.” I didn’t know what to make of it, especially since it could go to prospective clients.

  • what should you say when answering a business phone

My pet peeve is OOOs for the afternoon/an appointment when the person who set it up is NOT good at responding to emails in a timely fashion. If someone usually requires multiple reminders and follow up emails for me to get a reply to an email after 2 weeks, I don’t really need a notification that their responses will be delayed an hour until they get back from the doctor. It makes me think “who are you responding to that quickly, and why can’t you reply to me that fast??”

    5. "Hello, [Person's name] is chasing new adventures and is no longer with [Company name]. Please forward all future requests to [New or interim person's name] at [phone number]. Thank you!"

After I tweeted this example, dozens of people sent me examples of OOO messages they’d set or particularly good examples they’d seen in the wild. One example from a boss (via a TikTok) who offers emailers a decision tree of sorts. “Option 1.) Wait it out. Ask yourself, ‘is this urgent and important?’ If not, take a beat…you and I will be better off with this expectation set now,” the email begins. This one stands out because it’s extremely detailed, manages expectations and also offers who to contact in different situations. It models good behavior of taking time off, but also gives the original sender a variety of option. Most importantly, the responder forces the original sender to assess whether this is actually an urgent request.
I think important context here is that no matter what the details added were, it always had this aggressive tone of “I’m taking a break and breaks are IMPORTANT”. Which I agree with, but it felt like it was almost aggressive/accusatory, and more importantly: this person was without a doubt the meanest, cruelest, least understanding and empathetic person I’ve ever worked with who ran her staff into the ground with urgent demands and expectations.

The boss’s thinking was that people who did drivebys looking for you would then email you, see your OOO, and then be able to call you to talk about whatever they were driving by for. No one liked putting their personal contact info so we never worked from home (pre-COVID and pre-VOIP implementation) or told people to IM us and we’d call them.

Yup pretty sure. I remember stuff like they’re going to visit Mickey, they miss him, they haven’t seen him in a long time…honestly it read to me like someone under the influence of something when they wrote it.

If you're unsure of what exactly to write in your message, a good idea is to search through your inbox for out of office messages you have previously received from other people. Oh heavens no. All I ask of an out of office is that it tells me when the person will be back (if known) and who I can contact in the interim.
