I think you talk to person X and ask them to cc you when they are dealing with things sent to them because of your OOO.
.
I’ve named the conference I was attending a couple of times in my out of office. That particular conference is a big enough deal in my field that some of the people emailing me were probably also in attendance, which made it worth specifying, in addition to setting expectations about email response times and overall availability.
The auto-reply will stop on the date you set for it to stop. If you did not set a start and end date, it may be using a date that is already past. Check this in Gear Icon>Automatic Replies>End Time.
Thank you for your email. Our offices are closed until [date]. If it’s something you need urgent assistance, Contact [Name] on [phone number] or [Email]
Here is a quick checklist of 65 messages that will be useful to make your holiday closing smooth and efficient, from setting gone-for-the-holiday notifications to resetting thermostats.
Note: If you don’t see Automatic Replies, use Rules and Alerts to set up your out-of-office message.
“For example, if a hacker knows that the chief financial officer of a company is OOO, thanks to the information in the auto-reply message, an attacker could impersonate the CFO on email and target another individual in the company’s finance team asking them to make a payment or update bank details for them while they are offline,” says Sadler.
I hate to break it to you, but I’m on annual leave until [end date] and will have limited access to my emails until then.
Hi, I’ll be back on {MM/DD]. please contact [name] at [email] or [phone] if you really, really, really think it’s urgent. Otherwise, I’ll respond when I get back.
8) I am currently out of the office. I have a cell phone, but I will not be giving the number out. If you can guess the number, however, I will take your call.
Same. There are a few people that are regularly in charge of things I need from them, but are part time. The vast majority of our office is full time. I have no idea when they’ll get back to me, or if I should email someone else. If I saw an OOO message every time they were gonna be gone Th-Fri, I would learn their schedule faster, and hopefully have the most up to date info about “oh, they changed their schedule due to Memorial Day, I can email them and get a response quicker this week” or whatever the issue is.
Not just that, but some e-mail systems (Gmail comes to mind) have taken to hiding the signature underneath a little expando-button. You don’t see it unless you go looking.
Out-Of-Office templates (OOO) are a type of auto-responder that instruct eDesk to reply automatically to messages that arrive during one-off office closures, e.g., during a national holiday. For example, a customer sends your company a message on Christmas Day, but the office closed at 6pm on Christmas Eve and will not reopen until the 29th December. If you have set up an OOO template for this holiday period, eDesk will immediately respond to the customer with a message that reads : "Thanks for contacting Joe's Bikes! Just to confirm that we've received your message and that a member of our team will respond as soon as possible. Wishing you a very Happy Holiday from everybody at Joe's Bikes". This message is pre-written as an OOO template and is set up to be triggered for any customer messages that arrive between 6pm on 24th December and 8am on 29th December. You can use OOO templates to auto-respond to messages during any one-off time period when your team is unavailable to respond in person. Setting up OOO templates is easy - we'll show you how! I’m tempted to make out a “SUPER DUPER HELPFUL COWORKER” certificate to hand to them.
As a matter of courtesy – and to give you the peace of mind needed to be present wherever you are going (either away from the office or on vacation) – you should send each of your clients a simple email to let them know you’ll be away. Below I’ve offered some sample text for to you use as a template. Feel free to make it a TextExpander snippet, Gmail canned response, or whatever. Just use it (or something like it). Please.
