Perhaps I’m you guys’ worst nightmare, but for the past couple of years I’ve been writing haikus for my OOO, which give a flavour of what I’m out doing. A couple of examples:
I’m not sure I agree. Just as it’s part of the job for someone to handle their emails, it’s also part of the job for the sender to make sure that their request is sent to someone who is available.
So now this email is working overtime with the flood of enquiries, spam, well-wishes, and broken hearts.
A Day in the Life of an Autoresponder. Digital marketing guru Ann Handley has become legendary for her humorous out of office responses. Getting an auto-reply is by definition impersonal, but Ann turns a cold response into a friendly conversation through some clever personification, while also promoting the event she’s attending.
Thank you for your email. I’m currently out of the office until [date] to celebrate the holiday with my loved ones. I won’t have my phone with me all the time.
I got the original voice mail on my landline when it became available for home use. It replaced the old voicemail recorder you could buy.
Having a professional automated message when you are busy enough to answer customer queries right away can set the right tone for your business and inform customers when they can expect to receive the response.
When I tweeted this, some people argued that the pollster above was using his wife as an excuse. This might be true (and, if so, is probably a bad defense mechanism from some of the work culture habits described earlier). Another possible explanation is that the pollster is telling the truth — his inability to try and balance a vacation with some light work time built in is understandably frustrating and exhausting to those around him.
That advice Reynolds jokily shared in fact goes directly against a recent article in the Harvard Business Review. Short, sure, and sweet, why not? But ruling out the personal and the emotional? Think again, because those are the very ingredients that can help your correspondents feel more connected to you. Colour your OOO with a dash of personal information – how about saying where you’re off to and why – and you’ve a ready-made conversation starter for the next time your paths cross.
Not a big fan of this overly wordy version, but at least the OOM-writer gives you contact info for the people who might be able to help. My pet peeve is “I am out of the office until the 12th of never” with no indication of who might be able to help. But… we also have people who turn on their out of office while teleworking. WHAT?! You’re working. No one cares from where.
Tested to/from 2 iPhones (1 personal/1 work phone) and neither of them receive the designated Auto Reply Text. What am I doing wrong?
You can also schedule your auto replies ahead to send at a specific time for a set it and forget it solution.
Are you fully inspired by the creative out-of-office messages above? It’s time to write your own — your upcoming vacation depends on it. Try HubSpot’s OOO Email Generator if you’re feeling stuck, and remember, an out-of-office email doesn’t need to be boring. On the contrary, it should inform and entertain. You don’t want people hating on you because you took a much-needed break.
University-wide mail services will be running a reduced schedule, accepting all mail from both postal zones and sorting; however, deliveries will be made to only a few approved locations on Main Campus. Hospital and clinical operations will not be impacted and will receive normal mail pickup and deliveries during winter break.
I take advantage of the ability to send different OOO messages to internal or external addresses. Internal addresses get a couple of people to contact if it’s urgent, usually my direct report and my backup person, since between them they can cover pretty much everything I do, or at least they’ll know who can. External addresses get a more general notice: “I am temporarily out of the office. If your message is regarding the Llama Care project and requires a prompt response from our Llama Grooming Team, please make sure that [email protected] is one of the recipients of your message.” Probably not the most elegant phrasing, but we have a distribution list for this very reason. Even requests that they know only I handle are supposed to go to the LG list.
