Our office VM sends an audio file to our email. I love it, because I can apply all the filing and prioritization functions of my email inbox to the voice messages. It’s the only way I ever check my VM. I don’t even remember how to listen to messages on my phone.
Auto-attendants with a customized holiday greeting can be a festive way to mark the occasion. If you have a retail business, create a holiday greeting to inform customers of any limited-time sales you are offering. If your office is closed for the holiday, be sure you state this in your message.
Remember, your email signature is as important to your company as all of your other corporate branding. Update any marketing promotional banners with seasonal offers. When the holiday season is over and your promos have finished, make sure you are no longer using a Christmas themed banner.

Whatever style you may ultimately decide to adopt, each of these emails should feature these essential elements: Precise reference to the period in which you will be away, as the receiver will want to know when they can reach you again. I usually put my boss in my OOO, because if something is so urgent that it needs to be delegated RIGHT NOW then it’s urgent enough that my boss should know about it, and he’s also in the best position to know who on the team to delegate it to based on everyone’s workloads and what can be dropped. But the most likely result is that whoever is emailing me either waits for me to get back because it’s not that urgent or goes to the next/backup person based on our central documentation about who to contact for particular issues.
After X enjoyable years, I do not work at [company] any more. Please contact [insert name and email] for enquiries relating to [subjects], or myself at [email] for personal matters.
In this image, you're letting people know you're OOO with a "Missing" notice on a milk carton. Genius. Just be careful — this sort of autoresponder is best for internal emails, not for autoresponders that get sent to prospects and clients.
Leaving an email without a responder can appear unprofessional, lose potential business and, worst of all, make you look like Scrooge!
Yeah, I do think some are pretty funny (eg tan lines) and some are not so terrible, but I honestly think she took them incredibly seriously and wasn’t trying to make her colleagues laugh as much as just ….. put out an air of “look how personable and authentic I am”. She also lamented that other people’s OOOs were “rigid” and why couldn’t people have fun?! Which again, sounds not so bad but was someone who would regularly ask prying inappropriate personal questions, so it came across less like “let’s loosen up” and more like “why won’t people tell me the specifics of why they’re off today, because I deserve to know”.
It isn’t hard to write an out of office message. And it’s less important than learning how to write a great follow up or understanding what makes a killer subject line. But that’s just the reason why a lot of people usually underestimate what an out of office message can achieve.
