This might seem obvious, but make sure you clearly state and restate the dates you’ll be out of the office. Even if you put the dates in your subject line, you should also repeat them in the message body. It’s hard to over-communicate here. State exactly when you’ll be back, and whether or not you’ll be responding to calls and emails while you’re out. If you’re on the road but are responding to messages, let everyone know if you’ll be unavailable for an extended period (while on a flight, for example), if you’ll be in a different time zone, and in general, that they should expect a delay in response time. All in all, set realistic expectations and strive to be as specific as possible.
We are encouraged to put up messages that say we have “limited access to email” and alternative contact for things like travel between offices and conferences. We’re technically working those days, but it may be hard to reach us.

If you are going out of office but still leave something interesting for your contacts like poetry, that’s something really out of the box. This is a truly amazing OOO message, and reverting with poetry will surely make the receiver read it twice as emails are the last place one imagines reading poetries. Especially closing with “If all else fails, clear your cache…” is one good way of telling people that they will need proper help and it will anyway take time before they’re all set. If I got an OoO just to tell me to have a good day, I would find that person and throw water on their computer. They’re obviously not qualified to operate one.
Next, click Send automatic replies.Tick the “Only send during this time range” box. Set the dates you’ll be out of the office. You can skip this step if you want to manually turn off automatic replies when you get back to the office.Then set your automatic out of office reply under the Inside My Organization tab. This will be the automatic response sent to people from your company who email you while you’re away.
A well-deserved holiday deserves a substantial out-of-office message that really hammers home the fact that they’re still working, while you’re off on your travels – nice and descriptive to really paint the picture!
