My biggest pet peeve is the opposite – people who NEVER turn on their OOO! I’m not saying for a day but when they’re out for an extended period of time and I’m reaching out to get a deliverable.
Agreed. Every time you are in a meeting is overkill. For some people they are never not in meetings.
.
As a matter of courtesy – and to give you the peace of mind needed to be present wherever you are going (either away from the office or on vacation) – you should send each of your clients a simple email to let them know you’ll be away. Below I’ve offered some sample text for to you use as a template. Feel free to make it a TextExpander snippet, Gmail canned response, or whatever. Just use it (or something like it). Please.
I don’t. They just have to wait. The people in my office that could have a legitimate emergency that requires my input have my cell number, and they’d just call me.
But what should you do to keep the message informative, engaged and maybe a little festive?
Out of office messages can also make your workload easier when you return to the office. Colleagues and clients who know you are on vacation or at a conference might be less likely to fill your inbox with messages. If someone does need immediate help on a project, they can know who to contact in your absence to make sure it gets handled on time.
The auto-reply will stop on the date you set for it to stop. If you did not set a start and end date, it may be using a date that is already past. Check this in Gear Icon>Automatic Replies>End Time.

Every November without fail, when I take a week off for deer season, I start my OOO with “GONE HUNTIN’!”
If you’re taking a vacation and staying home, your clients or coworkers may still expect you to pop into the office and answer their email. Use this autoresponder to let them know you’re really not available — even if you’re bumming around on the couch.
To ensure your out-of-office email is thoughtful and useful, we’ve compiled all the important information and three handy (copy-and-paste ready!) out-office-email examples.
But some of us just aren’t as lucky. Or if we’re traveling during the winter and heading up north — well, we’re going to run into some snow, aren’t we?
Just say you’re away from your desk! Or if you’re out for more than a day, just say you’re “away” until XYZ date.
I don’t include this much detail on my OOO, but I do include if I am out of the office for religious observance, because I don’t use electronics on my holidays and want people to know that I really won’t get their message until the holiday is over. (Unlike the norm in my workplace that otherwise senior people are checking email even if we’re sick or on vacation. I know, I know.)
The exact dates you will be away. The reason for your absence. This is not obligatory, but bear it in mind. The thing is, people might still attempt to get in touch with you if you’re on a business trip or at a conference. They are less likely to try to contact you if they know you’re on vacation. The people who can assist a client while you’re away. Provide names, phone numbers, and email addresses so that colleagues and clients can keep in touch in case they need urgent help. It makes you look trustworthy in the eyes of the recipient and strengthens your working relationship with them.
Half of the auto-replies I get are for very specific chunks of time. Like, if you are out of the office for three hours I don’t need to know, dude.
