3. Delayed response templates. If you are working, but can't reply to emails easily, make this clear in your out of office message. This will easily set a sender's response expectations.
3.) Welcome to the John Doe AG. Our offices in Berlin are now closed for a holiday. You can reach us on working days from Monday to Friday from 9am to noon and 1pm to 6pm. For general inquiries you can also send us an email to [email protected]. Thank you very much. We wish you a nice day - your John Doe AG.

Out of office messages can be as concise or detailed as you need but should follow a standard structure. Here are two templates you can use to create your own message.
For any requests you might have, feel free to reach out our [Title] [Name] at [email / phone].
Apparently, people receiving such a notification rarely get angry. "The response is basically 99% positive, because everybody says, 'That's a real nice thing, I would love to have that too,'" Daimler spokesman Oliver Wihofszki told BBC Radio 4's Today programme. Holiday envy has been replaced by corporate email policy envy.
When you are not in the office for more than a day, telling people who contact you that you might not be checking or responding to your emails right away will help them complete work in your absence. Setting up an out of office message can help you communicate this information. This article will describe how to write an out of office message and provide examples of effective message formats.
Creating a voicemail greeting might not be fun, but with the scripts I’ve shared, you should have an easier time. No need to practice time and time again — simply plug in your name, company title, and other details, then read it out loud to your phone’s voicemail greeting recorder. With a professional greeting, you’ll continue nurturing prospects even if you don’t pick up the phone.
But, what exactly should you say in that automated message of yours? Whether you’re looking for something straight-laced and formal or over-the-top festive, here are six different templates you can use for an out-of-office message that’s perfectly suited to you, your company, and this merry time of year.
I will surely respond to your email when I’m back in the office. But, if this requires an immediate response, please resend any messages that require my immediate attention with a subject line of “URGENT: [Original Subject]”.
However, if you do choose to do this, make sure you actually follow through and do the thing you’re bragging about, unlike this New York Times reader who was just a bit too bold.
This works fine but I notice it also adds after your auto-responder at the bottom an option for them to reply “urgent” to ensure I receive notifications which seems damn pointless if you ask me. Is there a way to switch that off because it seems to be counter-intuitive to setting the auto-responder that you’re not there or on leave? Thanks Trace
My grandboss used to put in his OOO: ‘I’m out of the office. If you need x or y, contact Andy or Jane. They know stuff.
If you’re experiencing a higher text volume than normal, be sure to have a volume auto-text on hand to help buffer the traffic. Thanks for your message! We’re experiencing a higher volume of texts than usual. You can expect a reply within 12 hours.
See, if it’s a long period of leave and there’s an alternate contact provided, this is just… the sensible thing that should happen?
[BUSINESS] is in no way endorsing or not endorsing said holiday, nor encouraging or discouraging employees of all demographic clusters to engage in celebrity activities. Thank you for your consideration during this festive or not-festive time.
I like that you can sometimes tell the team dynamics by the OOO. In my experience I’ve seen that: – “If you need something, contact a member of my team” = I trust my crew and probably would prefer you email them all the time, TBH. – “If you need something, contact my boss” = I don’t trust my team and think my work is #higherlevel, OR my boss is a micromanager. – “If you need something, text me” = I hate my boss and don’t trust them to handle my work OR I think I’m very important and the company can’t function without me.
Hello, I’m out of the office until [DATE]. However, I will be taking periodic breaks from binge-watching everything I’ve missed to check my email [once per day/every evening/occasionally] while I’m away. If this matter isn’t time-sensitive, rest assured that I’ll respond when I’m back in the office. But, if this is an urgent request, please resend any messages that require my immediate attention with a subject line of “URGENT: [Original Subject]”. All the best.
