As a result, our text-based work communication has morphed into a series of strange, stilted, passive aggressive, and performatively upbeat exchanges. Much of the actual text of work email exchanges is ornamental filler language filled with exclamation points and phrases like “just looping back on this” that mask burnout, frustrated obligation, and sometimes outright contempt (the absolute best example of this is a wonderful 2015 post titled, “Just Checking In,” where writers Virginia Heffernan and Paul Ford write fake emails in this vein to see who can cause the other the most panic).

I should add that I actually WISH I got more exciting OOO messages and/or that I felt like I could be more exciting with mine!
Ha – I didn’t watch the video but still definitely get the condescension! It’s a LOT of extra explaining and direction when something like, “if you need immediate assistance, please contact Fergus at…” will do. In my opinion, cutesy stuff like this is mildly entertaining at the beginning but gets dumb/annoying shortly thereafter. Not just with OOO messages, but other instances where companies try to make being “cool/funny/laid back” parts of their brand in really obvious ways.

And while it may seem like a simple thing, if your out-of-office message is unclear or incomplete, it can cause problems while you’re out and when you return.

The attendant menu for your main contact number may be the first form of contact that a customer has with your business. Make sure your greeting is clearly articulated. Provide an option to speak with an operator if the caller has a question that is not addressed by the menu options.

Perhaps I’m you guys’ worst nightmare, but for the past couple of years I’ve been writing haikus for my OOO, which give a flavour of what I’m out doing. A couple of examples:
If your phone system allows employees to receive external calls at their desks, instruct them to record a "closed for the holidays" message or "out of office" voicemail greeting that gives callers essential details about the closing.
Hello, All our stores will be closed until the end of the week for [Christmas]. We will respond to all your inquiries once we are back on [date]. Merry Christmas! Regards [Name/signature]
I do enjoy the transcribing of voicemails, so a lot of times I read that (and try to translate the weird interpretation from Siri). I rarely need to actually listen to the voicemail.
