We’ve certainly come a long way since the honeymoon days of You’ve Got Mail, the 1998 Meg Ryan romcom in which each new electronic missive set Tom Hanks’ heart fluttering (and vice versa). These days, in tech circles, you’ll hear tales of folk who’ve set their email servers up to automatically delete unread emails after a week – before going on holiday for a full fortnight. Others have reduced the OOO to a single word in the subject line: “Nope.”

If this OOO message does anything particularly well, it’s that it respects the differing views, religions, traditions, and opinions of your coworkers — while amusing so many others.
This might seem obvious, but make sure you clearly state and restate the dates you’ll be out of the office. Even if you put the dates in your subject line, you should also repeat them in the message body. It’s hard to over-communicate here. State exactly when you’ll be back, and whether or not you’ll be responding to calls and emails while you’re out. If you’re on the road but are responding to messages, let everyone know if you’ll be unavailable for an extended period (while on a flight, for example), if you’ll be in a different time zone, and in general, that they should expect a delay in response time. All in all, set realistic expectations and strive to be as specific as possible.
With a slightly modified email address to mirror yours, they can easily impersonate you using the personal information provided in the OOO message and exploit your absence. Knowing where you are and how long you may be gone can lead to an attempt to initiate a transfer of funds or access confidential data. They might even go the extra step and reference how great their “trip” is going just to make the message appear genuine.
