Going on a vacation, feeling under the weather, celebrating the holidays, or just playing hooky from work? If so, you need to let your colleagues, clients, and leads know that you’re not available. There’s nothing worse than waiting for an urgent request, or even a quick and simple response, only to find out the person you’re trying to reach is out of work and completely unable to respond to you.

That’s why I instituted group email addresses/boxes for this use (I had to fight with IT to have one created in the early days). Yes, everyone has their individual email in addition to the group mailbox.

I actually think that’s a really helpful out of office message? I appreciate how clear it is about who to contact in which circumstance (so you’re not having to do the awkward dance of trying to track down the right people while not inconveniencing the wrong ones), while maintaining a friendly-but-firm boundary around the vacationing person’s time (since none of the options include things like “here’s my cell phone number!”).

Auto-reply email sample: Hi [first_name], Thanks so much for reaching out! This auto-reply is just to let you know… We received your email and will get back to you with a (human) response as soon as possible. During [business_hours] that’s usually within a couple of hours. Evenings and weekends may take us a little bit longer.
“some things are MORE important than work” definitely comes off as aggressive to me. “How DARE you email me when I’m doing something MORE IMPORTANT, and for that matter why aren’t YOU spending time with YOUR family?!”
Here’s one example out in the world, which jumpstarted me thinking about this topic:
An out of office message shows your professionalism by informing others of your unavailability. Such messages generally include an apology for the inconvenience, a reason for not replying right away, the time the receiver can expect a response and an alternative person they can contact if there is something urgent.
The one exception: When I was out for a week and a half on my wedding/honeymoon, I included something about “Additionally, I am out of office getting married, so shortly after my return my name will change from Red Bookworm to Red Reader.”
