I say I’m off-duty, or in non-working status, but I come from a DOD background. I no longer like to say out of the office. Unavailable is good too.
The subject line. This is the very first thing your customer will see, before they even open your email. The opener. The first line is what greets the customer as soon as they open your email. The “thank you” The body. The email signature.
But I’ve also seen this tactic used for a week’s vacation, which seems… aggressive.
An out-of-office message is an effective way to inform people why you are not responding to their calls or messages and when they can expect a response. This information saves them from getting frustrated and avoids any negative impression from the inability to respond. If you have long-term relationships with your customers, such an auto-response system is highly significant as it avoids any inconvenience.
Out-Of-Office templates (OOO) are a type of auto-responder that instruct eDesk to reply automatically to messages that arrive during one-off office closures, e.g., during a national holiday. For example, a customer sends your company a message on Christmas Day, but the office closed at 6pm on Christmas Eve and will not reopen until the 29th December. If you have set up an OOO template for this holiday period, eDesk will immediately respond to the customer with a message that reads : "Thanks for contacting Joe's Bikes! Just to confirm that we've received your message and that a member of our team will respond as soon as possible. Wishing you a very Happy Holiday from everybody at Joe's Bikes". This message is pre-written as an OOO template and is set up to be triggered for any customer messages that arrive between 6pm on 24th December and 8am on 29th December. I just say “following my return to the office” because saying “as soon as possible” isn’t actually when I’m going to respond — I may have other priorities when I get back that take precedence over responding to a week old email that wasn’t important enough for them to contact my backup. That said, it doesn’t bother me when other people do it!

But despite these (fantastic) suggestions, the number one rule for choosing your out of office is that it reflects who you are as a person. Don’t change for anyone, especially not your auto-responder.
