It usually isn’t enough to just say you’re out and won’t be responding to messages. You’ve got to give people options for how they can get their issue or request resolved. One of the easiest wins here is to provide alternative contact information. That could mean providing your mobile number while you’re out, or, more commonly, providing the phone number and email of the colleague (or department) that will be covering while you’re away.
Don’t forget our office and Contact Centre will be closed tomorrow; [date], for the public holiday. You can still use our internet banking, mobile app and phone banking during this time.
My favorite was one the one that said “I am out of the office and don’t plan on ever returning.”
I have a confession to make: I haven't recorded a new voicemail greeting in nearly a decade. Since then, I've (hopefully) become more articulate, poised, and self-assured. That’s my practice, too, though I only use it for times I’ll be out for a day or more. Some of the work I do and support can be very time sensitive and it’s really the most efficient use of *everyone’s* time if I spend two minutes before I leave setting up OOO so that they are quickly directed to the right person instead of having to go check my calendar, see I’m out for a week, try to remember who it is that’s my backup, etc.
