Professional business voicemail greetings are significantly different from ones you record for individual use and complete your professional business image. They’re more generic in nature and designed to provide information to the caller while ensuring they leave a message. Where possible, explain when you expect to return calls. Typically, they’re recorded for the following:

Having a dedicated emergency contact will help make sure anything important that comes up is taken care of. Another option is directing callers to a separate answering service.
1.) Welcome to John Doe. Unfortunately, there is no one in the office right now or your are calling outside of business hours. Please leave a message or send an email to [email protected]. Many thanks for your call.
4. Waiting Message. What callers hear when they enter the waiting queue. Sample Scripts: “All of our agents are currently busy. Please hold and we will answer your call as soon as possible.”
6. You have reached [your business]. All of our representatives are currently busy, but if you leave us a detailed message with your name and number we will return your call in the next two hours. Thank you for calling and have a great day.
If you know your PIN and simply want to change it, dial *98 from your home phone and enter your PIN. Then, from the main menu, do the following: For security options, press 3 To change your PIN, press 1 Enter your new PIN (4-15 digits) To confirm, enter your new PIN again
A Virginia reader says her message ends with: "Leave your name, number and favorite color of underwear. We'll get back to you if we like the color." She says I'd be "surprised at how many callers actually leave a color."
3) Press the OK soft key or Select (depending on model). You will hear a confirmation tone. This information as well instructions for other features your model may have can also be found in your owner's manual. Ring Time allows you to set the number of rings the caller hears before your answering system plays the outgoing message. You can set the ring time to answer after two, four,or six rings. If you enable the Toll Saver (TS), the answering system picks up after two rings if you have new messages, and after four rings if there are none. 1) Simply move the "Ring Time" switch to the desired selection. This switch can be found on the side of the base To operate your answering system when you are away from home, you will need to enter a two-digit security code or Personal Identification Number (PIN). The default security code is 80. 3) Press the OK soft key or Select key (depending on model). You will hear a confirmation tone.

The right way to leave your phone number is to start saying your phone number with your area code and then take a 2-3 second pause while the person listening to your voicemail message gets a pen and paper. Then, continue with the next 3 digits, make another 2 second pause, and then say the last 4 digits. Then, slowly repeat your phone number again.
